Frequently asked questions

Answers to the questions we get most often about booking, pricing and availability requests.

How does booking work?

Browse performers, open the profile you like and send a booking request. The performer confirms their availability and you get a confirmation by email. If you are not ready to commit yet, start with an availability request. It marks the date with the performer at no obligation, and you turn it into a booking later.

What is an availability request?

It marks a date in the performer's calendar as one you are interested in, without committing you to anything or holding the date exclusively. An availability request is free and not binding: no price, no duration, no contract. Only a confirmed booking request binds either side. Make one by opening a performer's profile and clicking “Check availability”. A request covers a whole date, so no time of day is needed. You need to be signed in to make one.

Can I request a date that already looks taken?

Yes. If something else already falls on that date we mention it as a note, but we never block an availability request because of it. The performer tells you whether the date works. The only date you cannot request is one that has already passed.

How long does an availability request last?

Until the event date you chose. The performer's answer does not change that, and there is no separate confirmation deadline before the event. If you have not sent a real booking request by then, the request lapses automatically: the date is released back to the performer and you are both notified by email.

How do I turn an availability request into a booking?

It never converts on its own. You always confirm it yourself. 1. Sign in and go to My Events. 2. Find the request and click “Send binding booking request”. 3. Fill in the start time, duration and venue. You see the final price before you send. 4. Send it. The performer confirms and you get a confirmation by email. You can do this even before the performer has answered the availability request.

Can I cancel or reschedule?

An availability request can be cancelled at any time, free and without giving a reason, by you, by the performer or by support. Cancelled requests stay visible under the Cancelled tab in My Events. For a confirmed booking, cancellation and rescheduling terms vary by performer and are included in your booking confirmation. Contact us as early as you can. If a performer is prevented from attending, we help you find a replacement.

What does using the service cost?

Creating an account, browsing performers and sending availability requests are free, and there is no separate service fee for you. The performer's fee, travel costs and any add-ons are always shown before you confirm a booking. Travel cost is calculated automatically from the venue's postal code. Non-profit organizers may be eligible for adjusted pricing.

How does payment work?

For event organizers: the invoice is sent by email or e-invoice once the performer has accepted the booking. The payment term is shown on the invoice, and payment is always due before the event. For performers: your fee is paid to your bank account within one business day of the event, once Hello Performer has received payment from the customer. You do not need to send a separate invoice.

How quickly will I get an answer?

It depends on the channel. Aino answers immediately. We answer the phone Mon to Fri, 9am to 5pm. Email and the contact form get a reply within 24 hours on weekdays. Performers usually answer booking requests within a day.

Who is Aino and what can it do?

Aino is the AI assistant built into the service. It helps you describe your event, finds performers that fit, looks up the venue address, sends an availability request for you and answers questions about how the service works. Aino replies in the language you write in. The name comes from the Kalevala.

Is the service only for companies?

No. Associations, schools, municipalities, public organizations and private individuals use it too. You can book several performers for the same event, for example a speaker, a host and a musician.

What languages is the service available in?

The service is available in Finnish, Swedish and English. Many performers work in several languages, and the languages are always shown on the performer's profile.

How do I become a performer?

Create an account and fill in your performer profile: bio, videos, references, languages and the areas you work in. Set your pricing and any add-ons. Our team reviews the profile and publishes it once everything is in order.

Can my colleagues see and manage the same events?

Yes. Create an organization for your company under Settings → Organizations and invite your colleagues by e-mail. Every member sees the organization's events and bookings, can create and edit events and sees who made each booking. Only the owner can invite and remove members.
